Question:
Do we need to keep a recruiting log (paper file or on a recruiting database) on every prospect that we recruit throughout the year?

Answer:
Yes, every prospect that meets the definition of recruited (see below) OR who will be coming to IU to participate on your team next year needs a recruiting log or database entry (for financial aid reasons with certain prospects, we sometimes avoid triggering this definition, but are still "recruiting" via email or unofficial visits).

13.02.10.1 Recruited Prospective Student-Athlete
Actions by staff members or athletics representatives that cause a prospective student-athlete to become a recruited prospective student-athlete at that institution are:

Providing the prospect with an official visit;
Having an arranged, in-person, off-campus encounter with the prospect or the prospect's parent(s), relatives or legal guardian(s); or
Initiating or arranging a telephone contact with the prospect, the prospect's relatives or legal guardian(s) on more than one occasion for the purpose of recruitment.

Y ou need to document all telephone calls, contacts, evaluations, offical/unofficial visits, etc. in the log. Logs should be kept current and available for spot checks periodically throughout the year. The compliance office will thoroughly review all logs at the end of the year. Missing or incomplete logs are not acceptable!
