Compliance Question Of The Week
Question:
Who can participate in our team occasional meal? What are some best practices for monitoring our meals?
Answer:
Occasional meals are meals not associated with travel or competition, and may be provided approximately once per month during the calendar year. Examples of people who can participate in an occasional meal:
- Countable coaches
- Sport-specific staff members and other athletics staff members
- Volunteer coaches, student assistant coaches, managers
- Faculty
- Prospects on official visits
Additionally, these people may participate in the meal as long as they pay the appropriate per-person cost for the food and drinks provided:
- Parents of student-athletes
- Prospects on unofficial visits (with their guests)
It is the responsibility of the coaching staff or sport's administrative staff to know how many meals have been used each semester and plan appropriately for future meals. Following each occasional meal, coaches must complete the necessary form, and turn it in to the business office (with all receipts) for reimbursement and processing. Once processed, a copy of that form is sent by the Business Office to Compliance.
