Compliance Question Of The Week
Question:
I have boxes of media guides left in my office. Can I hand them out or send them to prospects before August 1st?
Answer:
Current media guides may be passed out to prospects or their families who are visiting cam=us during July only. Guides may also be mailed to eligible prospects (the class of 2010 and 2011 are the only ones right now) as long as they are postmarked by July 31st, 2010. For coaches and non-coaches alike - please be aware of this upcoming date, and clean out your media guide supply shortly! Once August 1st hits, no more media guides may be given out. You CAN recycle them.
After July 31st, we cannot send or hand out any printed guides to prospects, their families, their coaches or anyone who is otherwise associated with the prospect through athletic channels. We also cannot "leave out" such items for public pick up. Many of our sport programs will be moving away from printed media guides for good - and will use only electronic versions of the guides starting August 31st. Some may still want to produce a printed guide - which should be made known to compliance please - but we kindly request that any printed materials be pre-approved by compliance or distributed solely by certain "approved" staff, so as to ensure that everything being passed out on visits is permissible.
Some other printed stuff is still permissible, even though media guides are not. While we may continue to produce guides and additional publications, this new rule change will require that these be sent only electronically or made available on our website for reference as needed. You may show printed materials to prospects and their families who are visiting your office, but these printed, hard-copy version must not be given out. You may direct prospects to our website, or e-mail direct links to the document if the prospect is otherwise eligible for e-mail communication.
Printed information creased for marketing / ticket sales purposes (and therefore not going to prospects) is usually immune from these restrictions. Certain Varsity Club publications may, however, fit the criteria of "printed recruiting guides" so please check with Jenna at anytime.
