Compliance Question Of The Week
Compliance Question Of The Week
Question:
Please clarify if it is permissible to mail anything in color.
Answer:
OK. We have recently revisited the 13.4.1.1. Bylaw "Printed Recruiting Materials; notably part (a) General Correspondence. This is what is permissible:
- Only ONE side of a single sheet of paper may be in color. That color side is considered institutional letterhead, and cannot be bigger than a normal 8½ x 11 inches.
- The reverse of that color side can only have (non-color) hand-written (or typed) information on it.
- "There are no restrictions on the design or content of one side of the single sheet of institutional letterhead".
- Any additional pages in the mailing must be white paper with black ink -and only handwritten or typed text is permissible.
- Attachments must be in black and white and not be created for recruiting purposes (other than permissible printed recruiting materials like camp brochures, questionnaires, etc.) - see 14.3.4.1.1.
- General Correspondence must ALWAYS have an institutional letterhead piece included. (i.e. you can't send an attachment unless sit's attached to something!)
- Business Cards may only be sent once other recruiting materials are permissible (i.e. after June 15 of soph year for MBK and Sept 1 of junior year for everyone else - For now).
- Envelopes must be plain with a single logo and institutional name.
- Anyone who works at IU can send general correspondence to permissible recipients.
What are the CARA (Countable Athletically Related Activity) rules for the next few weeks?
As always, this depends on the sport, but generally:
(a) In-Season: Usual rules of 20 hours a week, no more than 4 hours on any day and one day off through Friday December 16th. Beginning Saturday December 17th, the limits on hours and days-off go away until school reconvenes on Monday 9th January, 2012. BUT, if you have designated a segment break, or a break in your countable days over break, then your student-athletes are not required to be here on campus, may not receive food/housing expenses for those dates and may do ONLY voluntary activity. Safety Exception sport coaches may be present for voluntary training, but nothing can be required during that recorded break. We WILL be notifying your SAs of these dates, if you have declared them.
(b) Out-of-Season: You should already have stopped all and any required athletically-related activity, per Dead Week and Final Exam week rules. You might be able to squeeze something in before school ends after finals are completed (talk to us first!), but otherwise, you cannot have anything required athletically-related until Monday January 9th. Safety Exception sports can have coaches present for voluntary workouts, but the summer-only exception for other individual sports to work (voluntarily) with their SAs during vacay time is not in effect over winter break.
(c) If you go back in-season before school starts again, see part (a).
(d) When school starts again (1/9/12), you're in either IN season (usual 20/4/1 rules), or OUT of season, and thus you have 8 hours of CARA, of which only 2 can be skill instruction and you must have 2 days off. (So, 8/2/2, I guess).
